Privacy Notice
Aftersales Service Desk (BYD Staff) · Version 2026-10-21
This notice explains how we collect, use and keep your personal information when you use the Aftersales Service Desk, and how you can exercise your rights.
Who Is Responsible
BYD Europe B.V. is responsible for the processing of personal information in this Service Desk (the data controller).
Address: 's-Gravelandseweg 256, 3125 BK Schiedam, the Netherlands
Privacy contact: [email protected]
What We Collect
- Sign-in information: your work e-mail address, and a digest of the code used to verify your sign-in. The code is kept in the Service Desk only as an irreversible digest.
- Work details: your name, job title, department and workplace, and the phone number you choose to give.
- Request records: the requests you submit, the replies, attachments, their status and how they were handled.
- Security records: sign-in and activity logs kept to protect your account and the platform.
Please submit only what is needed to handle your request, and leave unrelated personal information or sensitive data out of requests and attachments.
How We Use It
Your information is used to verify your identity, handle and assign requests, coordinate the colleagues who support you, tell you how your request is progressing, and keep the Service Desk secure and its handling traceable.
Requests usually go to the aftersales operations team of the country concerned; pan-European requests are coordinated by central operations.
Your personal information is not used for advertising and is never sold.
Who Can See It
As their work and the handling of the request require, these authorised people can see the information concerned:
- the aftersales operations staff of the country concerned, or the central operations staff for pan-European requests;
- the colleagues taking part in handling the request;
- platform administrators who need access for platform maintenance, security management or troubleshooting.
Access is limited to the information needed for those duties.
How Long We Keep It
Personal information is kept for as long as the business purpose requires, taking applicable legal requirements into account.
In setting how long, we mainly consider:
- Work details: whether you still need the Service Desk, and whether related requests still need contact and follow-up;
- Requests and attachments: whether the request is complete, and whether follow-up service, a related warranty or claim, tracing the handling or resolving a dispute still needs them;
- Sign-in and activity logs: a reasonable period for security monitoring, investigating anomalies and incidents;
- Code digests: a short period for sign-in verification and the necessary checks against misuse.
We review regularly whether keeping information is still necessary. Once the business purpose is fulfilled and no other lawful ground for keeping it remains, we delete the personal information or anonymise it irreversibly. Where a legal obligation or an unresolved dispute requires keeping it, we keep only what is necessary and restrict its use and access.
Changing Your Information
You can update your work details at any time in "My Details".
To keep an accurate record of how requests were handled, a submitted request normally keeps the information it was submitted with and does not change when you update your details. If personal information in an earlier request is wrong, ask aftersales operations to correct it or add a note.
Your Rights
Under the conditions of the applicable law, you can ask to access or receive a copy of your personal information, to have it corrected or deleted, to restrict its processing, or object to processing based on legitimate interests; where applicable, you also have the right to data portability.
You can make a request through the privacy address above, or ask aftersales operations to pass it on. To protect your information, we may need to verify your identity.
You also have the right to complain to a data protection supervisory authority, including the one where you usually live, where you work or where the alleged infringement took place.
Updates to This Notice
If the way personal information is processed changes, we will update this notice accordingly and show the latest version date on this page.
